In Plain English (the short version)

We only collect what’s needed to help you stay on top of Road User Charges (RUC).
No tracking your every move — no “always-on” GPS.
We don’t sell your data. Ever.
You’re in control — you can see, correct, download, or ask us to delete your info.
We keep your information safe and follow the Privacy Act 2020.

Who We Are

RUCSmart is a Kiwi business that helps drivers and fleets manage RUC in plain English.

What We Collect (and Why)

  • Account details: name, email, phone number (if you give it).
  • Vehicle details: rego, type, weight class, RUC balance or kms entered.
  • Usage info: calculator inputs, reminders, settings, and support messages.
  • Payments: processed by secure providers (we don’t keep full card numbers).
  • Device data (optional): if you connect a device later, it might send odometer or distance.

We do not collect full GPS trails unless you explicitly agree.

We do not collect sensitive info (camera, microphone, contacts, health, religion).

How long we keep it

  • RUC/vehicle records → up to 7 years (standard NZ record-keeping).
  • Support chats/emails → up to 2 years.
  • Analytics data → 13 months or less.

When it’s no longer needed, we securely delete or anonymize it.

Who we share with

We never sell your information. Data is only shared with:

  • If RUCSmart is restructured or sold, your privacy rights carry forward.
  • Service providers (hosting, payments, email) — they must follow our rules.
  • NZTA or authorities only if required by law or if you ask us to.

Overseas Storage

We store data in NZ or Australia where possible. If overseas providers are used, we ensure they have safeguards comparable to NZ law (Privacy Act 2020, IPP 12).

Your Rights (under the Privacy Act 2020)

  • Access → ask for a copy of your data.
  • Correction → fix errors.
  • Download/Delete → take your info or request deletion (unless legally required to keep it).
  • Opt-out → marketing or optional features.
  • Device tracking → opt-in only, and you can disconnect anytime.

Security

  • All data is encrypted in transit (HTTPS) and at rest.
  • Limited staff access.
  • Regular vendor and system reviews.
  • If a serious breach happens, we’ll notify you and the Privacy Commissioner, as required by law.

  • Essential cookies: make the site work.
  • Analytics cookies: help us improve, not to follow you around.

You can block cookies in your browser at any time.

Children

RUCSmart is for drivers and businesses, not for children under 16.

Changes to This Policy

We’ll update this page if things change. If it’s a big change (like new devices or data uses), we’ll notify you clearly and give you choices.
